The Opportunity:
We are seeking a highly organized and detail-oriented Marketing & Administrative Coordinator to support both client development initiatives and daily office operations. This role is ideal for someone with at least two years of marketing, event planning, or administrative experience who thrives in a collaborative, team-oriented environment. Strong organizational skills, initiative, and the ability to manage multiple priorities are essential for success.

Key Responsibilities:
Administrative & Office Support:
· Serve as front desk point of contact: greet visitors, answer and route incoming calls, and maintain the reception area.
- Manage mail distribution, office supply inventory, and overall organization of common areas.
- Assist with conference room set-ups, firm lunches, celebrations, and other internal events.
- Support employee onboarding/offboarding processes (e.g., updating firm directory, access codes).
- Coordinate scheduling for firm meetings, interviews, and internal trainings.
Marketing & Client Development Support:
- Provide support to the Client Development Committee, including preparing agendas, attending meetings, taking minutes, and tracking follow-up items.
- Assist with client development proposals, presentations, promotional items, and marketing materials.
- Manage attorney business card orders, holiday gifts, and other client-focused communications.
- Update and maintain the firm’s website and social media platforms (LinkedIn, Facebook) and contribute to newsletters and articles.
- Coordinate attorney participation at conferences, speaking engagements, and sponsorship events.
- Organize event logistics (booth set-up, signage, shipping promotional materials, itineraries, etc.).
- Attend 3–6 client development events per year, engaging with attendees and supporting attorneys on site.
Qualifications:
- 2+ years of experience in marketing, event planning, or administrative roles (law firm or professional services experience preferred).
- Strong written and verbal communication skills with the ability to interact professionally with diverse personalities.
- Highly organized with strong planning, problem-solving, and multitasking skills.
- Flexible, proactive, and team-oriented with sound judgment and discretion.
- Ability to stand for extended periods and lift up to 50 pounds.
- Ability to travel domestically 3-4 times per year
Compensation: The expected hourly range for this position is $23.00 – $27.00 per hour. Actual compensation will be determined based on a variety of factors, including the candidate’s work location, experience, qualifications, and skills.
